Cambodian Children´s Fund is an NGO based in Hong Kong, fundraising to serve a community of about 3,000 vulnerable families in Cambodia. This is a full time role, providing back office support for the CCF Development Director and assisting in a variety of tasks in fundraising and relationship management, to ensure operational execution. Our office is based in Wan Chai.
Responsibilities:
Admin
Main point of contact for CCFHK.
Manage enquiries, logistics, office supplies, sundries and related tasks.
Assist with CCF Board Admin duties: Setting up meetings/ calls, taking minutes (quarterly). Collating and filing and submitting docs for required legal or financial entities (ad hoc).
Salesforce – Manage database for sponsorship and donation records.
Produce Weekly & Monthly Sponsorship and Donation Reports for internal distribution.
Event Support: smaller quarterly events and specifically annual Gala – main CCF event.
Co-ordinate event marketing collateral and promotional materials – print, digital/ online.
Liaise with Child Sponsorship Team for: new sponsors, donations, general communication.
Maintain the subscription payment records for fundraising partners.
Provide reports on a need basis, for fundraising partners.
Co-ordinate logistics for trips to PP or for visiting CCF guests.
Financial
Manage incomes received (Stripe/ PayPal/ HSBC) and reconcile donations/ sponsorships.
Monitor collection and follow up of sponsorship payments/ donations.
Provide Accountants weekly updates and details of incomes received.
Communicate bi-weekly bank balances to Head of Finance.
Prepare and Issue invoices and receipts, as and when requested.
Track and prepare cheques for payment to suppliers.
Communicate amounts payable via online banking.
Set up any new sponsors on recurring payments in Stripe, when required. Deposit cheques and cash donations.
Requirements:
2-4 years of professional experience.
Excellent organisational, analytical and time-management skills, as well as an ability to motivate and communicate effectively with other members within the offices.
Detail oriented with the ability to continually monitor processes and procedures to optimise effectiveness.
Motivated individual with the proven ability to work in a fast paced environment and handle multiple projects at one time while meeting demanding deadlines.
Ability to work with minimal supervision.
Excellent verbal and written English.
Willing to work overtime and meet tight deadlines.
Fluency in English is a must; fluency in Cantonese is desired.
Exceptional communication, interpersonal and presentation skills with an overall positive disposition.
Must possess intermediate level proficiency with Excel, PowerPoint and Word.
Knowledge of Salesforce a plus.
Salary commensurate with experience.
