​Founded in 2019, the American Club Foundation (ACF) works to create a more caring, sustainable, and equitable Hong Kong. The Foundation works with an engaged community of volunteers, funders, and partner NGOs to champion sustainable city initiatives, organize educational and philanthropic opportunities, and make a difference in the lives of Hong Kong people, particularly the underprivileged and under-resourced. The ACF providesresources directly to the local community and our NGO partners andsupportssocial innovation through providing impact funding, volunteers and in-kind resources. Working together with our community partners, we hope to be able to strategically use our resources to invest in community causes for the betterment of the underprivileged in Hong Kong.The ACF received its Section 88 charitable status from the Inland Revenue Department in early 2021.

About the Role

We are currently recruiting a Programs and Operations Associate(PA) to join the ACF team. The PAwill report directly to the ACF’s Chief Executive Officer (CEO)and will have the following responsibilities:

●Take the lead and work with the ACF Program Committee to design and develop programs for the ACF community.

●Manage and organize all program logistics, including management of volunteer recruitment, registration, day of event logistics management and post-event follow-up (including surveys, thank you lettersand impact assessments), and ensure that all programs run smoothly.

●Serve as the primary liaison between the Program and Communications Committees and ensure that all program marketing and communications are sent out in a timely fashion.

●Provide support to the Communications Committee to gather and disseminate information about programs, NGOs and community issues needed for mass communications.

●Serve as primary liaison with the American Club events team and other partners of the ACF to organize events.

●Assist the CEO with fundraising initiatives and support the grantmaking process for the ACF.

●Manage the operations of eTapestry, the ACF’s CRM system, including the management of ACF’s membership and fundraising data and communications generated from e-Tapestry, with support from the Program and Operations Assistant.

●Supervise student interns whomprimarily will have responsibility helping organize programs,working with eTapestry and helping with graphics design and communications.

●Supervise work of the Programs and Operations Assistant.

●Manage the books and records ofACF’s day-to-day operations.

●Other tasks as required by the CEOor the ACF Boardof Directors.

Qualifications / Skills

●Proven track record in developing programs and delivering them from start to finish.

●Ability to identify and implement operational procedures and policies to increase the effectiveness of the ACF.

●Ability to evaluate program effectiveness.

●Experience working with volunteersand managing a team.

●Excellent interpersonal communication skills –enthusiastic, passionate and versatile.

●Excellent organization skills and attention to detail.

●Ability to communicate with others effectively(both in writing and orally)

●Ability to conduct research for special projects, respond timely to inquiries, and present written/ oral briefings.

●Good decision-making skills and response to high-pressure situations

●Proficient in software such as Microsoft Office.

●Experience using database programs/donor software such as eTapestry or Salesforce an advantage.

●Experience with accounting software an advantage.

Desired Education and Experience

●Minimum Bachelor’s degree (or equivalent).

●Minimum of two(2) years of recent overall program and project management experience, preferably with an NGO, a charitable foundation or in the philanthropic field.

●Excellent command of written and spoken English. Fluency in Cantonese and reading and written Chinese preferred.
