At ConnectedGroup, we are supporting a local non-profit organization dedicated to empowering marginalized communities to elevate collective social impact, in the search for their Operations Director.
Reporting to their CEO, the Operations Director will be a strategic partner in their senior management team, responsible for leveraging technology and data, working on financial forecasting and reporting, process implementation and enhancement, human resources processes (recruitment, onboarding-offboarding, talent management), and general organizational effectiveness support.
Responsibilities:
- Responsible for identifying and implementing best-in-class solutions for office management and workflows, leveraging technology and automation to enhance operational effectiveness and replacing manual processes.
- Staying abreast of regulatory developments, particularly in the charity sector in Hong Kong, ensuring the organization is legally compliant and supporting in strengthening organizational governance.
- Overseeing multi-year financial forecasting, tracking, and reporting, providing data-driven analysis and recommendations to senior management to ensure best use of resources, as well as guaranteeing financial reporting to donors is accurate and timely.
- Responsible for the reconciliation of financial transactions, overseeing approval processes for expense processing, invoicing and receipts. Building project managers’ capacity to monitor their own budgets with high autonomy and precision.
- Ensuring the adequacy of HR systems and their capacity to address the full lifecycle of employees from onboarding to offboarding; supporting in recruitment and talent management.
- Standardizing and improving volunteer and internship programs for consistent experience, competitive talent pool and rigorous impact assessment.
- Leading initiatives to safeguard organizational cybersecurity (prevent, detect, and mitigate data breaches)
- Supporting donor cultivation and relationship management, being an external ambassador (upholding reputation and values), and contributing to diversifying revenue streams and exploring innovative revenue models beyond traditional grants.
Requirements:
- Bachelor’s degree in Administration, Finance or similar.
- Proven experience in a similar senior role, ideally within a non-profit, or a small/medium sized organization (10-15 people)
- Proven experience in multi-year financial forecasting, budgeting, grant reporting, CRM management, managing financial and accounting systems
- Strong strategic and analytical skills, attention to detail, and the ability to use data and technology to inform decision-making
- Strong communication and interpersonal skills,
- Proficiency in key software is required for the role, including Microsoft Office, Google platform, e-conference platforms such as Zoom and Microsoft Teams and CRM (Xero is a plus).
- Proficiency in Chinese and English
