The Operations Manager is responsible for ensuring consistent, high-quality, and scalable delivery of Inspiring Girls Hong Kong programs.
This role provides operational ownership and oversight across all programs, while Program Coordinators remain responsible for execution and Facilitators for delivery.
The Operations Manager is the primary escalation point for schools, partners, and internal teams and ensures the charity operates with professionalism, reliability, and strong governance.

Reporting to: Chapter Chair & CEO
Manages : Program Coordinators (operationally), facilitators (indirect) Employment
Type: Part-time or Full-time (senior, depending on experience)

The Operations Manager:
● Does not replace Program Coordinators

● Owns program integrity, risk, planning, and coordination across programs
● Is hands-on for complex, high-risk or multi-stakeholder programs
Core Responsibilities
1. Program Operations Ownership (All Programs)
● Act as Operational Owner for all Inspiring Girls Hong Kong programs, including:
○ Resilience Workshops
○ EmpowerHer Future (EHF)
○ Work Experience Programs
○ SolveHers Hackathons
○ Corporate RM Inductions
○ Be the Invisible Tie initiatives
● Ensure every program has:
○ A clear delivery owner (Program Coordinator / Facilitator)
○ Defined touchpoints and timelines
○ Documented processes and checklists
● Maintain oversight of program calendars, capacity, and dependencies
2. Flagship & High-Complexity Program Leadership
Provide direct operational leadership for programs with higher complexity, including:
Resilience Workshops
● Oversee RM training cadence and facilitator readiness
● Ensure alignment between in-school delivery, career fairs, and training modules
● Act as escalation point for schools and facilitators
SolveHers
● Lead operational planning for hackathons
● Coordinate logistics, partners, judges, venues, and risk management
● Support Program Coordinators and Managers on execution
3. School, Teacher & Partner Relationship Management
● Act as the face of operations for:
○ School leadership
○ Teachers and school administrators
○ Corporate and ecosystem partners
● Ensure schools experience:
○ Clear communication
○ Reliable execution
○ Professional standards
● Step in where issues arise or where senior presence is required
4. Program Coordinator Enablement & Oversight
● Provide operational direction and support to Program Coordinators (e.g. Serena, Sunnah)
● Ensure:
○ Workloads are realistic and balanced
○ Scope remains clear
○ Escalations are handled quickly
● Standardise reporting, documentation, and coordination practices
● Act as first escalation point before CEO involvement
5. Operational Planning, Reporting & Administration
● Own:
○ Annual and quarterly program delivery plans
○ Touchpoint and resourcing models (including P/T allocation logic)
● Review and consolidate:
○ Program reports
○ Participation data
○ Key operational risks
● Support administrative functions such as:
○ School MOUs and agreements
○ Expense tracking and approvals
○ Documentation for funders and board updates
6. Governance, Risk & Continuous Improvement
● Ensure operational compliance with:
○ Safeguarding and child-protection standards
○ Charity governance best practice
○ Internal policies and procedures
● Identify operational gaps and inefficiencies
● Continuously refine processes to enable:
○ Program consistency
○ Scalable growth
○ Reduced dependency on individual staff members
Time & Allocation Expectations (Indicative)
This role is designed to operate as:
● Light-touch oversight for repeatable programs (EHF, Work Experience)
● Hands-on leadership for complex programs (Resilience, SolveHers)
● On-site presence for:
○ Key events
○ High-risk or high-visibility programs
● Estimated:
○ 2–3 days/week (part-time)
○ Scaling to full-time as programs expand
Skills & Experience
Essential
● 6+ years’ experience in:
○ Operations management
○ Program delivery
○ Education, nonprofit, or social enterprise environments
● Strong experience managing:
○ Multi-stakeholder programs
○ School-based or youth programs
● Excellent planning, coordination, and risk-management skills
● Confident communicator with senior stakeholders
● Highly organised with strong attention to detail
