To support our growing team and diverse portfolio of initiatives, FSI is seeking a reliable and detail-oriented Company Administrator. This role is the operational backbone of the organization, ensuring that our internal processes - from HR and compliance to office management - run seamlessly so that our team can focus on driving social change.
Job Description for FSI’s Company Administrator
FSI is seeking a mature and organized Company Administrator to manage the day-to-day administrative, HR, and compliance functions of the organization. This is a highly responsible role that requires a "safe pair of hands" to manage sensitive data, ensure legal compliance with Hong Kong regulations, and oversee our physical office space, Peak Impact.
While this role will coordinate closely with the Executive Director, senior management, and the Accounting team, the Company Administrator is expected to work with a high degree of autonomy and professional maturity.
Main Responsibilities:
● HR & People Operations: Manage employee and contractor agreements, process monthly payrolls and MPF, and keep internal policies (Employee Handbook) up to date.
● Compliance & Governance Oversight: Lead the annual audit process and ensure timely regulatory filings (NAR1/NAR2, IRD Employer Returns). Maintain active statuses on global donation platforms and oversee data privacy compliance.
● Office Management (Peak Impact): Act as the primary point of contact for our office space, managing the lease, landlord relations, utilities, and day-to-day facility needs.
● Financial & General Admin: Facilitate external payments and company accounts (Credit Card, PayMe), manage insurance renewals, and oversee supplier onboarding.
● Communication Hub: Serve as the gatekeeper for central communication channels, monitoring company email inboxes and the business phone.
Preferred Background:
● Experience: Minimum of 3 years of relevant administrative or operations experience. We are looking for a mature professional with a proven track record of handling sensitive information (this is not a fresh graduate position).
● Language: Fluency in written and spoken English is required; proficiency in Cantonese is highly preferred to facilitate communication with local vendors, the landlord, and government bureaus.
● Meticulousness: Exceptional attention to detail and a "compliance-first" mindset.
● Technical Literacy: Proficiency in digital tools (Google Workspace, online banking, etc.) and an ability to navigate online government portals (CR/IRD).
● Reliability: High levels of integrity and discretion when handling confidential information.
● Adaptability: Ability to work independently in a hybrid, multicultural environment.
Employee Benefits:
● Salary: HK$15K – HK$20K (based on experience and merit) + MPF.
● Professional Development: Up to HK$2K reimbursement under FSI’s annual personal development fund scheme.
● Leave: 15 days of annual leave (pro-rata for part-time, excluding public holidays).
● Flexibility: Flexible working hours and arrangements in a hybrid workplace.
● Environment: The opportunity to work in a multicultural, socially-conscious environment where your work directly enables social impact.
Employment Terms:
We are offering a 12-month contract, with the possibility of renewal subject to performance and funding. We are open to discussing either a full-time or a part-time schedule (20-30 hours/week) depending on your needs and skill set.
How to Apply:
Please submit your CV and a brief cover letter (one page) via email to admin@shared-impact.com by June 3, 2026. Please include “Applying for the Company Administrator Position” in the email subject. Applications will be reviewed on a rolling basis.
