Splash is looking for a motivated professional to join our team. This full-time position serves as a central administrative pillar, supporting programmes, operations, and events to ensure seamless day-to-day activities and the successful execution of both classes and fundraising efforts. Key Responsibilities
Programme Administration & Coordination
● Scheduling & Venue Liaison: Coordinate scheduling with schools, clubs, and public pools to secure venue bookings and lifeguards for all Splash programmes.
● Participant Management: Assist the Programme Manager with enrolment, registration and communication with participants.
● Coach & Captain Support: Assist with organizing and onboarding volunteer and contracted swim coaches and captains, including managing contracts, training materials, and background checks.
● Data & Evaluation Tracking: Collect and input quantitative and qualitative evaluation data (attendance tracking, participant surveys, assessments) to assist with grant reporting.
● Expense Tagging: Collect and organize invoices related to programme delivery, ensuring they are accurately sorted for the Programme Manager's review.
● General Inquiries: Manage general email account, responding to inquiries and liaising with team members as needed for resolution.
Events, Finance and Operations Support
● Project Tracking: Assist with updating project plans, tracking deadlines and scheduling internal meetings for major events (e.g., Make Waves for Hong Kong, Splash Dash Relay)
● Logistics & Permitting: Assist in executing on-the-ground operations, including permit applications, venue bookings, organizing transport, placing orders and managing event equipment inventory.
● Fundraising Support: Assist in setting up and monitoring event pages on donation platforms; help distribute fundraising toolkits and guides to participants; Prepare and send donation receipts.
● Stakeholder Coordination: Act as a secondary point of contact for event participants, volunteers, corporate sponsors, and external vendors (photographers, videographers, translators).
● Financial Administration: Assist with basic bookkeeping tasks, including compiling receipts, sorting accounts payable/receivable documents, and preparing expense logs for entry into Xero.
● Office Support: Assist with general office administration, including physical inventory and ordering supplies.
Skills & Experience
● 1–3 years of experience in administrative support, project coordination or non-profit operations.
● Exceptional time-management skills with a proven ability to prioritize tasks.
● Strong written and verbal English skills; Cantonese highly desirable.
● Proficiency in Google Workspace (Docs, Sheets, Slides). Familiarity with, or a strong willingness to learn, Salesforce, Xero, and peer-to-peer fundraising platforms.
● A "can-do" attitude and a hands-on approach to troubleshooting on-the-ground logistics during events and programmes.
● Comfortable working in a fast-paced, lean team environment.
● Familiarity with the NGO or social impact sector is helpful but not essential.
● Background in swimming or sports coaching a plus.
● Willingness to work weekends or evenings to support major events or programme launches.
● Eligible to work in Hong Kong.
